Objectives of the Role
- Act as a technical reference in the Billing, Collection, and Financial Service operation, ensuring the execution, evolution, and scalability of the area's flows.
- Contribute directly to the reduction of default, increased operational efficiency, improved billing predictability, and quality of the experience of internal and external clients.
- Lead continuous improvement, automation, standardization, and data analysis initiatives, connecting processes, systems, and partner areas to solve structural problems of the operation.
Responsibilities
- Lead the evolution of billing, collection, and financial service flows, ensuring greater efficiency, traceability, quality, and reduction of rework.
- Act as a technical reference in the use and organization of information in HubSpot, Vindi, and other systems of the operation, ensuring consistency of records and reliability of data.
- Analyze root causes of default, billing failures, operational bottlenecks, and service recurrences, proposing structural improvements to mitigate risks and increase operational efficiency.
- Conduct automation, standardization, and continuous improvement projects with impact on scale, productivity, operational quality, revenue predictability, and customer experience.
- Act as a focal point on critical issues involving strategic accounts, relevant financial discrepancies, billing delays, collection, blocks, unblocks, or sensitive treatments.
- Build, review, and monitor billing, default, service, productivity, rework, and operational efficiency indicators.
- Translate operational and financial data into clear diagnoses, directions, and action plans for decision-making and prioritization of the area.
- Structure scalable processes combining data, documentation, automation, systems, and good operational practices.
- Interact with partner areas such as Product, Tech, Finance, Controller, CX, CS, and Commercial to unlock issues that impact billing, collection, and financial service.
- Define and evolve operational standards, execution criteria, playbooks, templates, workflows, and good practices for the team.
- Support the strategic prioritization of the area based on financial impact, operational risk, execution effort, and customer experience.
- Lead end-to-end projects, from diagnosis, scope definition, execution, testing, monitoring, status communication, and measurement of results.
Requirements
- Strong analytical skills applied to operational data and performance indicators.
- Experience with structuring, documenting, and improving operational processes.
- Advanced mastery of spreadsheets for data analysis, organization, verification, and processing.
- Experience with operational indicators, dashboards, productivity analysis, SLA, rework, default, or operational efficiency.
- Experience in conducting continuous improvement, automation, standardization, or operational scale-up projects.
- Ability to act autonomously in complex problems, connecting root cause, financial impact, operational risk, and action plan.
- Good communication with internal stakeholders, with the ability to align partner areas, record agreements, and translate analyses into practical referrals.
- Organization, sense of priority, and end-to-end responsibility for deliveries, deadlines, dependencies, and results.
- Efficiency mindset, with a focus on reducing rework, increasing predictability, and making processes more scalable.
Bonus Points
- Knowledge or experience with HubSpot, Vindi, billing systems, CRM, ERP, backoffice, or similar tools.
- Knowledge of SQL, Python, BI, Looker, BigQuery, Power BI, or data visualization and manipulation tools.
- Experience in SaaS companies, fintechs, B2B operations, scale environments, or areas with a high volume of service.
- Experience with automations, integrations between systems, workflows, APIs, Apps Script, Zapier, Make, or n8n.
- Practical experience with continuous improvement methodologies, such as Lean, PDCA, Six Sigma, or similar.
- Use of AI applied to data analysis, standardization of communications, documentation, productivity, or operational optimization.
