Head of Operations @ Koast.ai
Headquarters: Tampa, Florida

Role Details: Full-time | Remote (US hours) | Reports to the CEO | Growth path to VP of Operations / COO
About Koast
Koast is the AI operating layer for teams that run Meta ads at volume. Agencies, in-house media buying teams, and enterprise buyers managing 10+ ad accounts and launching 50+ ads a week use Koast to launch faster, automate optimizations off real attribution data, and see every account from one Command Center. The Koast Agent is the next layer: an AI that reads the account, spots what matters, and acts inside guardrails.
We are bootstrapped, profitable, and growing faster than our processes. You will be one of the first ten full-time employees at Koast. You will own how the company runs so the CEO can own where it goes. You are the anchor between engineering, support, customer success, and sales.
What You Will Own
- The anchor between functions: You will own the handoffs (sales to onboarding, support to engineering, engineering to customer success) and turn the CEO's priorities into an executable plan.
- The operating cadence: Build the rhythm the company runs on, including weekly priorities, metrics reviews, and quarterly planning.
- Revenue operations: Manage the pipeline from lead to paid to renewed. Ensure clean data and accurate MRR/churn tracking.
- Customer operations: Oversee onboarding, support triage in Intercom, escalations, and renewals.
- People and contractors: Manage hiring pipelines, contractor agreements, onboarding documentation, payroll, and performance check-ins.
- Finance operations: Oversee bookkeeping hygiene, monthly closes, cash forecasting, and vendor/partner payouts.
- Partnerships and vendors: Manage contracts, renewals, compliance, and operational oversight of partners.
- Systems and automation: Identify manual tasks and implement solutions via Zapier, internal tools, or AI agents.
What You Will Do Week to Week
- Run the weekly ops review: pipeline, churn, cash, hiring, and blockers.
- Use Koast daily to run onboardings and triage support tickets.
- Translate the CEO's quarterly priorities into a plan with owners and dates.
- Own the onboarding calendar for new customers and new hires.
- Keep the sales pipeline, CRM, and billing in sync.
- Draft and manage contractor agreements and vendor contracts.
- Close the books monthly with the bookkeeper.
- Build automations or SOPs for recurring tasks.
- Write concise updates for the CEO, the team, and partners.
- Audit and optimize the company's tool stack.
What Sets You Apart
- You have been the operator behind a founder at a company that scaled from 5 to 50 people (or $1M to $10M).
- You understand performance marketing or agency operations from the inside.
- You are fluent in the modern ops stack (CRM, billing, bookkeeping, contracts, automation) and configure it yourself.
- You are hands-on with software, can read product tickets/funnels, and engineers trust your technical feedback.
- You have experience navigating the intersection of sales, support, and engineering.
- You are data-driven and comfortable delivering difficult news.
- You write tightly; your SOPs are clear and actionable.
- You are comfortable owning unassigned tasks and delegating when the time is right.
Requirements
- 5+ years in operations, revenue operations, or chief-of-staff roles at a B2B SaaS or agency.
- Hands-on experience with a CRM (GoHighLevel, HubSpot, etc.), Stripe (or similar billing), and QuickBooks (or similar bookkeeping).
- Experience managing contractors and vendors, including drafting and negotiating agreements.
- Familiarity with Meta ads, agency workflows, or ad-tech is strongly preferred.
- Demonstrated experience working directly with software products and engineering teams (filing tickets, QA/UAT, product analytics).
- Comfortable with Zapier, Make, or light scripting. Experience with AI agents is a plus.
- Available full-time during US business hours.
How You Work
- Mastery: You strive for tighter systems and fewer surprises.
- Push the Boundaries: You aim to build a company that manages chaos by design.
- Embrace the Challenge: You are proactive when problems arise, regardless of the time.
- Responsibility: You own your commitments and communicate delays early.
- Dedication: You dive into unglamorous problems until they are solved.
- Collaboration: You make sales, engineering, and customers faster through clear communication.
Why Koast
- Early-stage impact: You will be one of the first ten employees, shaping the company's future systems.
- AI and ads at scale: Operate at the frontier of AI-driven media buying.
- Real upside: Bootstrapped and profitable. Includes salary, performance bonuses, paid time off, and a vested equity grant with a path to VP of Operations or COO.
- Remote and flexible: Work from anywhere during US hours.
How to Apply
Record a Loom video (5 minutes or less) covering these five points in order:
- Show us a system you built: A process, dashboard, or automation you designed that is still in use.
- One thing you would kill: A process, tool, or meeting you inherited and shut down.
- One number: A metric you owned, how it changed under your management, and what you did to influence it.
- One handoff you fixed: A time you aligned sales, support, and engineering to close a gap.
- Where Koast fits: Sixty seconds on what breaks first when a bootstrapped SaaS company doubles headcount, and your 30-day plan to prevent it.
Email the Loom link and your LinkedIn/resume to jobs@koast.ai with the subject line "Scaling with Koast".
Note: No cover letters. Applications without the video will not be reviewed.
