Description
Ellipsis is emerging as a market leader in “GEO” for B2B technology companies. This is a high-impact, hands-on role in a fast-moving and ambitious agency.
We're looking for an Executive Assistant to help our Founder and Managing Director, Alex, and our Chief of Staff, Anna, make the best possible use of their time, while ensuring important work across the business is prepared, coordinated, and followed through. You will be the metronome that helps the business keep moving.
Role Breakdown:
- 60%: Support to Alex (Founder/MD).
- 40%: Support to Anna (Chief of Staff) on wider business priorities, including finance and people administration.
Support to Alex
Your most important responsibility is helping Alex maximize his time, protect his attention, and stay focused on high-value work.
- Calendar management: Own and manage Alex’s diary. Protect focused work, resolve clashes proactively, and account for preparation, travel, and time zones.
- Inbox and communication: Triage emails, draft replies, and build systems for recurring email patterns to ensure important obligations are met.
- Briefings: Prepare clear, concise morning (and sometimes afternoon) briefings covering schedules, priorities, and deadlines.
- Day-to-day tasks: Proactively take projects from "mostly finished" to completion, including research, writing, and project management.
- Meetings: Prepare agendas and slides, use AI tools to summarize meetings, and ensure follow-up actions are tracked and completed.
- Travel: Coordinate complex travel, including itineraries, flights, and accommodation.
- Personal administration: Occasional support where it meaningfully protects his time.
Support to Anna and the Wider Business
- Finance administration: Support day-to-day finance, including filing expenses, collecting invoices/receipts, preparing client invoices, and chasing payments.
- People and team support: Assist with HR records, onboarding/offboarding, recruitment logistics, and fostering a positive remote-team culture.
- Company meet-ups: Research and organize team retreats, managing logistics, budgets, and accessibility.
- Wider business priorities: Take on scoped work to move company initiatives forward.
- Travel and conference support: Manage travel and logistics for the Leadership Team.
- Confidentiality: Handle sensitive business information with discretion and sound judgment.
Requirements
Hard Skills
- 2-4 years of experience in an Executive Assistant or similar role (PA, Team Assistant, Office Manager, etc.).
- Impeccable English written and spoken communication skills.
- Meticulous attention to detail.
- Experience working remotely full-time.
- Availability to work 8am - 5pm UK time (or earlier).
- AI Native: Confident using AI tools to research, draft, summarize, and streamline workflows. Able to write effective prompts and review outputs for accuracy and tone.
